Tattoo appointment reminders that cut no-shows

Most no-shows aren't malicious. They forgot, they got nervous, or they lost track of the date. A plain reminder the day before takes care of most of that.

Why people don't show up

  • They forgot. They booked two months out and life happened.
  • They're nervous, and silence felt easier than cancelling.
  • Money got tight and they're embarrassed to say so.
  • They got the day or time wrong.

A reminder fixes the first and last on its own. Include an easy way to reschedule and it helps with the other two, because now there's a way out besides ghosting.

What the reminder should say

  • Date, time, and the address, with a note about parking or buzzers
  • Eat beforehand, bring water, wear clothes that give you access to the spot
  • Bring ID
  • How to reschedule, and your notice window

Keep the tone friendly

A reminder that reads like a warning makes nervous people more nervous. Lead with the good part ("see you tomorrow"), put the practical stuff in the middle, and keep the policy to one line at the end. First-timers especially need to feel like they're allowed to ask questions.

If they're booked for a long session, tell them to bring a snack and something to do on breaks. It's a small thing, and they'll remember you mentioned it.

How reminders work on Studio Haven

Confirmation and day-before reminder emails are part of the client journey under Forms, and you can edit the wording. Text reminders are an option too. Clients who tick the text box when they book get a confirmation and a day-before text. Anyone who replies STOP gets taken off automatically, so you don't have to keep a list.

Clients can reschedule from their portal within your policy, which is usually better than a no-show. The deposit covers the rest: see how much a deposit should be.

Questions artists ask

When should a tattoo reminder go out?

One confirmation when they book and one the day before. For appointments booked months out, a check-in a week ahead helps too.

Text or email?

Both, if they've said yes to texts. People see texts, and emails are where they'll look for the address and details.

Can I text clients who didn't opt in?

No. Texts only go to clients who ticked the box when they booked. Email reminders still go to everyone.
